JavaMUG Board Meeting Minutes, January 12, 2005

General Business

• President called the meeting to order around 9:32 p.m.
• Approve past board meeting minutes – Five board members (Stephen had not yet been elected to the board) voted unanimously to approve past minutes with the exception of adding an addendum provided by Stephanie to the September minutes.
• Next month sponsor/speaker – No speaker has been found yet for the February 2005 meeting. Daniel Brookshier volunteered to speak if no other speaker was found.
• JUG Ambassadors of SUN – There was a brief discussion of who from JavaMUG was an official JUG Ambassador of SUN. Jim Burke, Pete Carapteyan, Bob Byron and Stephen Davidson are JUG Ambassadors of SUN. A JUG Ambassador is usually the official point of contact between a Java User Group and Sun.
• New Board Member appointment – Stephen Davidson was nominated to the Board of Directors by Daniel Brookshier. Jean Johnson seconded the nomination. Stephen Davidson was elected to the Board of Directors in a vote of 4 to 1. Adding one more Board Member to the Board now requires 5 Board Members to be present to create a quorum at the Board Meetings.
• Vice President appointment – Stephen Davidson was nominated to the Vice President position by Daniel Brookshier. Jean Johnson seconded the nomination. Stephen Davidson was elected to the Vice President position in a vote of 4 to 1.
• Membership signup confirmations – Lori Wilkins, secretary@javamug.org, is the point of contact for membership signup and confirmations. Anyone who joins by e–mail will receive an e–mail confirmation of their membership. Anyone, who expresses interest in joining JavaMUG via the monthly meeting attendance sheets will be sent an e–mail invitation to join by Lori Wilkins, secretary@javamug.org. If anyone has any question about whether or not, they are a member, please e–mail secretary@javamug.org. Also, a link has been added to the website that helps future members join via e–mail.
• Virtual meetings, using IM or some other type of chat tool – Virtual meetings were discussed as an alternative meeting style to help assist in always having a quorum at Board Meetings. Stephen and Daniel have taken this as an action item. They will make themselves available for questions, concerns, and issues posed by other Board Members. No final decision on this topic was reached.

Officer Reports

• Secretary:
• Minutes: New secretary, so no old minutes were presented by the secretary.
• Attendance: January's General Meeting had 90 people present. 49 of the attendees were JavaMUG members. 23 new members were signed up at the meeting.
• Treasurer:
• Bank Balance: Same balance as last month less $25.96 for badges.
• Income: $0
• Expenses: $25.96

Committee Reports

• Financial Committee:
• Stephanie Smith represented the Financial Committee. An External Audit Committee is needed for an audit in February. Andy Hoffman and Stephen Davidson volunteered to be the Audit Committee.
• Membership Committee:
• Lori Wilkins represented the Membership Committee. The Membership Committee is charged with coming up with a Membership Plan to address future membership recruitment and needs.
• Education Committee:
• Glen Grimes and Andy Hoffman will be the education committee this year. They plan to create a survey to determine education needs for JavaMUG in 2005.

President adjourned the meeting around 11:06 p.m.
